In the guide below, you will find the detailed steps of a Personalized Travel Assistant service model, which is divided into four main stages and covers the entire journey of international patients,
from initial contact to their safe return home.

This model ensures that all of the patient’s needs—including medical coordination, logistics planning and post-discharge follow-up—are managed seamlessly from start to finish by a single point of contact.

Pre-Arrival

Comprehensive Planning and Pre-Coordination Services

Medical Evaluation: The patient’s clinical history is collected, and all relevant medical records (X-rays, MRIs, CT scans, biopsy results, etc.) are meticulously reviewed.

Specialist Consultation and Treatment Plan: We ensure obtaining an initial diagnosis, necessary tests, and recommended treatment methods from the specialist physician.

Transparent Pricing: A transparent and detailed estimated cost for the course of treatment is generated.

Appointments and Logistics: Doctor appointments, hospital admissions, and coordination with various clinics are planned. Telemedicine appointments (tele-consultations) are organized as needed.

Special Arrangements: All special requirements, such as language support, VIP welcome services, patient escort services, and travel and accommodation arrangements (hotel/apartment), are coordinated.

Payment Coordination: We manage the coordination and approval processes with insurance companies, embassies, and other Third-Party Payers.

Arrival

Welcome, Transfer, and Hospital Admission

Airport Welcome: Organization of a special welcome service (VIP Meet and Greet) upon the patient’s arrival in the country, along with transfer service from the airport to their accommodation/hospital.

Hotel Check-in Assistance: The medical coordinator provides support and assistance during the check-in process at the patient’s hotel or residence to ensure a smooth transition.

Medical Transfer: Coordination with the Medical Transport team is arranged for patients requiring medical evacuation services.

Multilingual Support: A medical coordinator fluent in the patient’s native language accompanies the patient during arrival and registration processes.

Document Preparation: Support is provided for checking necessary personal and medical documents, such as medical records, consent forms

Admission

Coordination of Clinical and Patient Care Process

Companionship and Administrative Tour: Periodic hospital visits (hospitality rounds) are conducted for patients during their hospitalization.

Clinical Process Monitoring: Potential and existing clinical issues are reviewed. Continuous coordination with the care team is maintained to clarify medical concerns.

Family Communication: If necessary, meetings between the care team, the patient, and their family are facilitated and supported to clarify the treatment plan and outcome.

Detailed Reporting: Process-focused, detailed medical reports are provided (prior to discharge).

Departure

Return Home and Post-Treatment Follow-up

Requirement Verification & Reporting: Prior to final discharge, assurance is provided that all of the patient’s requirements and expectations (including comprehensive medical reports and summaries) have been met.

Post-Discharge Care at Accommodation: For patients residing in a hotel/residence until their first follow-up check, we arrange for regular visits by a dedicated medical team to the accommodation to perform necessary care, check-ups, and ensure a comfortable recovery environment.

Repatriation and Return Transfer Planning: We ensure the patient’s transfer to the airport via a VIP transfer service. In medically necessary situations, we arrange for the transfer to be conducted with a specialized medical team (medical transfer).

Patient Education and Counselling: Comprehensive education is provided to the patient regarding prescribed medications, symptom management, the importance of follow-up appointments, and how to appropriately handle emergency situations.

Medication and Supply Provision: Support is provided for the procurement of necessary medications and supplies that the patient needs to take home.

Follow-up Communication: Follow-up communication is maintained with the patient and their families via calls or emails after they reach their destination to confirm safe transfer and monitor their well-being.
